1. WHY SHOULD I HIRE A PLANNER?

A planner wears many hats- they are part negotiator, accountant, manager, producer, confidant, and therapist (haha). Weddings are usually the largest event you will throw in your life and it comes with so much expense, emotion, expectation, and work. Weddings are just that- a ton of work! Navigating even just one wedding can feel like a full-time job that you likely do not have the time or energy for. A good planner can help make the most of your budget, source and communicate with vendors, listen to your ideas and concerns, be your voice, and execute the plans on the day of so you can truly enjoy it.

2. HOW DO I KNOW WHAT ALL I NEED HELP WITH?

That’s easy- we will get on a call and get to know where you are at in the planning process and what your concerns are. Then once we assess your needs, we will recommend a package to fit those needs. This conversation is NOT a hard sales call, we are interviewing you just as much as you are interviewing us to make sure we are a perfect fit. You’ll be spending a lot of time with us, so you’ll want to like and trust who you’re working with!

3. HOW MUCH SHOULD I BUDGET FOR YOUR PLANNING SERVICES?

We have three main packages, full planning, partial planning, and day-of coordination- but we can also customize planning packages or include add-ons to our coordination services to fit your specific needs. Our process starts with a call so we know exactly how we can help. The investment you end up choosing will be a flat fee (not a percentage of your budget) and we keep everything transparent with no hidden fees!

4. CAN'T YOU JUST SHOW UP ON THE DAY OF AND I'LL GIVE YOU MY TIMELINE?

​No can do- and you wouldn’t want us to! In order to be fully representative of your vision, there is an enormous amount of information, communication, and education that has to happen prior to the wedding day. We start working with you 6-8 weeks in advance to get to know every single detail of your wedding day to ensure that it is realistic and foolproof. This gets us inside your head so we can be your voice to answer any vendor questions that come up and handle any challenges that may arise. Anything less than this process is a waste of your money.

5. DO YOU SET OUT OUR PERSONAL STUFF?

For sure we do! These personal items (place cards, signage, card box, guestbooks, table numbers, photos of your loved ones, etc.) make your event unique to you. We’ll bring an assistant to help us put all this stuff out for you and pack it up at the end of the night. All of this is done to your exact specification!

6. HOW DO YOU WORK WITH COUPLES WHO ARE PLANNING FROM OUT-OF-TOWN?

​Technology makes it easy to plan from anywhere. Every couple, no matter the package you choose, will receive our online planning tools to keep all your wedding details in one place and easy to access when planning from afar. Although we are incredibly flexible to host meetings virtually and during non-traditional weekday hours plus be your “boots on the ground” representation at venue walkthroughs and vendor meetings, there are additional fees added.

7. CAN YOU HELP US HIRE THE VENDORS WE NEED FOR OUR CHOSEN EVENT?

Of course! If you are feeling overwhelmed with searching for wedding pros, we can help with this process as much or as little as you need. Our recommendations are specifically tailored to you, your style, vision, and budget. We don’t just send a list of our favorite people and hope you like them. We truly put the time and thought into the options we send over. Plus, we have worked with these vendors and know them pretty well- so this takes out the guesswork of finding reputable, reliable, and cool peeps to work with.

8. WILL YOU WORK WITH THE VENDORS WE ALREADY HIRED?

We love when we can make recommendations to you, but we also welcome the opportunity to work with vendors you have found on your own. Regardless of the package you choose, we are true team players and will communicate with all your vendors before the big day to introduce ourselves and ensure we are on the same page.

9. HOW MANY WEDDINGS DO YOU TAKE ON IN A WEEKEND, MONTH, OR YEAR?

Due to working a full time job and a Ph.D student, I try my best to accommodate your needs for your special event. We cap how many weddings each of our team members work in a year and month, especially only taking one a weekend per lead planner. We do this for work-life balance because we work very hard and incredibly long hours. But most importantly, we hold this policy to ensure we have availability for the meetings we need to have with you and that on the big day we are fresh and focused on your wedding only!

10. WE DON'T HAVE OUR VENUE BOOKED OR DATE SELECTED YET, SHOULD WE DO THIS BEFORE WORKING WITH YOU?

Hiring a full or partial wedding planner before the venue is selected is a great idea! Finding the venue is one of the most crucial steps in the process and a planner can really help you find the right fit for you. Not all venues offer the same services or include the same details and it can be exhausting to compare them apples to apples. Having a planner help you in this process avoids choosing a venue that doesn’t fully fit the needs to pull off your vision or constrains your budget for the other crucial things you need to book. Plus, there are a few hidden costs or quirks that only a professional planner would be able to advise you on. You don’t want to start the planning process off on the wrong foot!

11. HOW MANY MEETINGS WILL WE HAVE?

This depends entirely on the package we put together for you. Our full planning package offers unlimited meetings for planning the wedding itself. We are with you through the entire process and at every vendor meeting and site visit. For partial and day-of packages we allocate a set number of meetings based on your needs and where you are at in the planning process. No matter what package you choose, we will always have at least one venue walkthrough to be conducted a month before the big day.

12. IS IT WORTH HIRING AN EVENT AND PARTY PLANNER?

13. WHY ARE EVENT AND PARTY PLANNERS EXPENSIVE?

Wedding planners are an added expense but they can be worth it in the long run. They can make things run more smoothly and efficiently and find low cost staffing, which are money saving steps that can make up for their expenses. They can also save you a lot of stress and emotional turmoil. A wedding planner’s costs will vary depending on where you’re located, what type of wedding you are having and the services included in your package. However, the average amount you will spend is $1850. That may seem like a lot, but when you think about everything that is included in that amount, it might just be worth it. There are different types of wedding planners that may be responsible for different aspects of planning your wedding. Here are some of the responsibilities that may be included in the packages they offer.


Correspondence: When you are planning a wedding, it’s likely there will be tons of vendors involved. Caterers, videographers, florists, musical entertainment and photographers are just some of the vendors you will need to communicate and coordinate with. Selection and Tours: Of all the things involved in your wedding planning, the venue where your wedding will be held is one of the most important. It will set the whole vibe for your wedding and it also must provide the accommodations that are necessary in making your wedding a success. Finding the right venue is a time-consuming process but your planner will make it as stress free as possible finding venues that work within your budget and that provide the accommodations you need. They will also schedule tours so you can check out the venues first hand to decide if they are right for you.

 

Vendor Meeting and Selection: Finding the right vendors is almost as important as finding the right venues. It’s likely your planner already has vendors that he or she can trust to do a good job; but you will have the final say. Therefore, your planner will set up interviews so you can meet each vendor and find ones you are happy with. They will also review vendor contracts to make sure there won’t be any hidden surprises.

 

Organizing Documents: During the planning of a wedding, a lot of paperwork can accumulate. This includes bills, contracts, financial documents and more. Your planner will keep all documents organized to make sure they are easily accessible if they need to be edited or reviewed.

 

Wedding Prep: Beyond hiring vendors, plans must be made to ensure every part of your wedding day runs smoothly. Your planner will be on hand to oversee every detail from your décor to your escort cards to make sure there are no unforeseen hiccups.

 

Coordination: The activities of a wedding must be well coordinated. This includes the arrival of the guests, the ceremony and reception, wedding dances, the serving of food and more. Your planner will spend hours making sure all activities are coordinated and get there early on the day of your wedding to see to it that everything goes as planned. Post Wedding Tasks: Your wedding may be over, but that doesn’t mean your wedding planner’s work is done. After the wedding ends, the planner must make sure all rental items are returned and follow up with vendors, family members and more.

 

Business Expenses: In addition to the time a planner spends organizing a wedding, he or she also has their own business expenses to cover. This can include renting an office, office supplies, internet bills and more. A planner must account for these expenses and make sure they are covered in the amount they are charging their clients. Clearly a wedding planner has a lot on their plates. After reviewing all of their duties and responsibilities, the amount they charge may seem like a drop in the bucket. And when you consider what it would be like to shoulder these burdens on your own, taking the plunge may just be worthwhile.
